Terms of Service

Last updated: July 28, 2026

These terms govern your use of DOMx Online, a service of Specialized Office Systems ("we", "us", "our"). By using DOMx Online you agree to these terms.

The service

DOMx Online provides dental clinics and their staff with secure online access to clinic information managed in DOMx, including scheduling. Your access is provided through your clinic; your clinic controls who may use the service and what they can see.

Accounts and security

You are responsible for keeping your sign-in credentials confidential. DOMx Online requires two-factor authentication; you agree to keep your chosen verification method (authenticator app, text message, or email) current and to notify your clinic or us promptly of any suspected unauthorized access.

Text messaging

If you choose text-message verification, you consent to receive automated sign-in verification codes by SMS at the mobile number you provide. Message frequency varies with how often you sign in. Message and data rates may apply depending on your mobile plan. Reply HELP for help or STOP to cancel at any time; if you opt out, choose a different verification method to continue signing in. Consent to receive text messages is not a condition of using DOMx Online. See our Privacy Policy for how phone numbers are handled.

Acceptable use

You agree to use DOMx Online only for lawful purposes and in accordance with your clinic's policies and applicable privacy and health-information laws. You may not attempt to gain unauthorized access to the service, interfere with its operation, or use it to store or transmit malicious code.

Clinic data

Data your clinic stores in DOMx and accesses through DOMx Online remains the clinic's. We process it solely to provide the service, as described in our Privacy Policy and in our agreement with your clinic.

Availability and changes

We work to keep DOMx Online available and secure, but the service is provided "as is" and we do not guarantee uninterrupted availability. We may update the service and these terms from time to time; material changes will be communicated to your clinic.

Limitation of liability

To the maximum extent permitted by law, Specialized Office Systems is not liable for indirect, incidental, or consequential damages arising from your use of DOMx Online. Our total liability is limited to the amounts paid by your clinic for the service in the twelve months preceding the claim.

Healthcare Information and Clinic Agreements

DOMx processes patient and clinic information on behalf of its healthcare customers. The contractual terms governing this processing are set out in the DOMx Canada Subscription and Information Management Agreement.

If that Agreement conflicts with these Terms concerning patient or clinic information processed on behalf of a healthcare customer, the Agreement prevails.
